We are committed to protecting the privacy and personal information of children, parents, guardians, and other participants involved in the Autumn School Programme.
The personal information provided through the application process, and any additional information collected during programme delivery, will be used solely for the purposes of administering, delivering, monitoring, safeguarding, and evaluating the Autumn School Programme.
As part of programme delivery, approved delivery partners may contact you by telephone, email, text message, or in person. In some cases, authorised representatives of delivery partners may carry out home visits where necessary to support participation, welfare, safeguarding, engagement, or other programme-related activities.
How we use your information
The information collected may be used to:
- assess and manage programme applications;
- communicate with children, parents, and guardians about the programme, other-related activities/events;
- arrange and deliver activities and support services;
- monitor attendance, participation, and outcomes;
- fulfil safeguarding and welfare responsibilities;
- evaluate and improve programme delivery; and
- meet legal, regulatory, and funding requirements.
Sharing your information
Your information may be shared with approved delivery partners, contractors, and organisations involved in delivering East Autumn School Programme where this is necessary for programme administration, delivery, safeguarding, monitoring, and evaluation.
Information will only be shared on a need-to-know basis and only for legitimate programme purposes.
Data Security
We take appropriate technical and organisational measures to protect personal information against unauthorised access, loss, misuse, disclosure, alteration, or destruction. These measures include:
- secure storage of electronic and paper records.
- access controls to ensure only authorised personnel can access personal information.
- staff and delivery partner confidentiality obligations and data protection training;
- secure methods for transferring information between programme partners; and
- procedures for managing and reporting any data security incidents.
All organisations involved in processing personal information on behalf of the programme are required to comply with applicable data protection legislation and maintain appropriate security standards.
Current delivery partners include East Bank institutions, i.e. UCL, UAL (London College of Fashion), V&A East, Sadler’s Wells and BBC.

Marketing
Personal information collected for the Autumn School Programme will not be used for marketing purposes and will not be shared with third parties for marketing, advertising, or promotional activities without your separate consent.

Data Retention

Where information is required for safeguarding, audit, financial, monitoring, evaluation, or legal purposes, it may be retained for a longer period in line with applicable legislation and organisational retention schedules.
